JOB DESCRIPTION
Overall purpose of the job.
The Supervisor Administration will supervise administrative team members and ensure that daily office operations are seamless and efficient. They will be in charge of overseeing office maintenance and cleanliness. They will set policies, give guidelines on administrative and office management areas, manage office stock and supplies, and prepare regular reports. The incumbent will maintain relationships with the JMDs office and ensure smooth coordination of office-related events as well as support contractual functions.
Specific duties/ Accountabilities: (List all accountabilities for the role)
Develop and maintain company policies and procedures to guide administrative and Office management processes.
• In charge of opening and closing office premises and maintaining key copies of all offices for emergency access
• Undertake periodic reviews to ensure that the Office premises are well set up and maintained in line with the Company policies and standards
• Implement staff safety and security measures in and around the office.
• Ensure timely distribution of office supplies to different departments and employees
Ensure that the office premises are kept clean and tidy at all times.
• Managing the performance of the Administration team to ensure the achievement of agreed targets.
• Ensure company assets and equipment at the office are maintained.
• Initiate and ensure office damages, electrical works, and water flow repairs are attended to promptly.
Support in coordinating internal and external meetings, assisting with setting up meeting rooms, provide water and refreshments for meetings and events.
• Prepare comprehensive management reports, including utilization reports of office utilities.
• Any related duties assigned by Management
Knowledge, qualifications & Experience
Education:
Bachelor’s degree in Business Administration or Management or any other related qualification.
Experience, Skills, and Competences:
3 years of experience in a similar position in a factory setting and a busy/large organization. Analytical thinking, Dynamic, quality of Service, Communication, Teamwork, Results Driven, and Agile.
